Let me ask you this, when you get to work in the morning, and you “log in”, at what point do you log into your document management system to check on your documents? Or, do you only log in to check on a document when you need it?
All of which is pretty good, but you’re missing one crucial element of systems like these. By right, a document management system is meant to help you control documents, and allow you to keep tabs on everything that is going on, either with your documents, or any area relating to your documents. So, if they’re that important, why do many people hesitate or only use the system when they need to check on their documents.
Let me put it this way. What if you could log into a system, in the morning, and have full control of everything. Not just your documents? Interesting? I’d say.
Not many systems online today allow you to fully control every aspect of your business from documents to meetings to analysis, workflow, process mapping etc. Which is exactly what technology is about today isn’t it? Simplifying life to the point where everything is at your fingertips at the touch of a button, making sure that you never have to hunt, threaten or demand any kind of action from anyone anymore. Perfect? You’re getting there, but it still boils down to how convenient that system is for you.
If you have to make a conscious decision to log into the system, it means that the system could not be very convenient if you’re avoiding it unless necessary, and this has always been a focus point with us. If a client enjoys they system, and actually begins logging into the system automatically, it means the system is a necessity for every aspect of their business. Which then turned into our aim.
A document management system should be more than just an application you rely on occasionally to keep track of documents. It needs to be an part of your business processes to be able to contribute to your organisation and help you streamline your business. Once you realize the importance of a true document management system, you will quite literally never turn back.
It’s worth a considerable amount of thought, when you think about how limited many systems are these days, and how much it really helps to consider all your options before jumping headlong into something that can potentially be of almost no value to you.
